Pricing guide · Updated October 2026
How much does an AI consultant cost in Nashville?
Real price ranges for Middle Tennessee businesses: what workshops, assessments, pilots and retainers cost, how consultants charge, and what to ask before you hire.
Short answer: In Middle Tennessee, a small business can expect to pay roughly $1,500 to $3,500 for a workshop, $3,500 and up for a fixed-price AI assessment, $8,000 and up to build a working pilot, and about $3,000 a month for ongoing advisory. Hourly rates among local and Tennessee-listed AI firms commonly run from about $50 to $300 or more. Most firms don't publish prices, so you usually have to ask.
Where these numbers come from: my own published prices, plus a review in October 2026 of Tennessee AI consulting firms listed on the Clutch directory, where self-reported minimum project sizes mostly ranged from about $1,000 to $25,000 and up. That is a snapshot of listings, not a market study.
The four ways AI consultants charge
- Hourly ($50 to $300+). Flexible, but the total is hard to predict. Fine for a few questions, risky for an open-ended project. Ask for an estimate and a cap.
- Fixed-price project ($3,500 to $25,000+). An assessment, a policy, or a defined build with a written scope. Easiest to compare and budget. This is what I recommend for a first engagement.
- Monthly retainer ($3,000+ a month). Ongoing advice, tool selection, training, and quarterly reviews. Makes sense once you have started using AI and want someone accountable.
- Per-seat or implementation fees through a vendor. Be careful here. Some consultants earn commissions from the software they recommend. Ask whether they do.
What I charge, and what it covers
- AI Team Workshop, from $1,500 (lunch-and-learn) or $3,500 (on-site working session). Staff learn what AI can and can't do, what never to paste in, and the first tasks worth trying.
- AI Opportunity Audit, from $3,500, two weeks, fixed price. Interviews, a ranked list of opportunities, a written roadmap, and a one-page AI use policy. See the audit page.
- AI Pilot Build, from $8,000, 30 days. One working automation or assistant in a real workflow, so you test value before committing more.
- AI Advisor, from $3,000 a month. Ongoing guidance, vendor checks, and training.
What makes the price go up or down
- Scope. One workflow versus the whole company.
- Data sensitivity. Health, legal, and financial information add review time and limits on what can be tested.
- Integration. Connecting to your existing software costs more than a standalone tool.
- Who builds it. A consultant who also writes code can ship a pilot faster than one who hands off to a developer.
- Ongoing costs. Software subscriptions and usage fees are usually separate from the consulting fee. Ask for an estimate of monthly running costs.
Questions to ask before you hire anyone
- What exactly will I have in hand at the end, and in what format?
- Is the price fixed? What would change it?
- Do you earn commissions or referral fees from any tool you recommend?
- Who actually does the work, and have they built something like this?
- What will you need from my team, and how many hours?
- How will you handle our sensitive data, and will you sign an NDA?
- Can I speak to a past client or see a real example of a deliverable?
Red flags
- No price range anywhere and a push to "just get on a call" for a number.
- Guaranteed savings or ROI figures before they've seen your workflows.
- A big upfront platform purchase before any assessment.
- Vague deliverables like "AI transformation" with no written scope.
Is it worth paying for an assessment first?
Usually yes, if you aren't sure where AI would help. A few thousand dollars to rank opportunities and write a policy is cheap next to buying the wrong software or building the wrong thing. If you already know your one painful task, a smaller pilot may make more sense. Either way, start with a free 30-minute call, and decide after that.
Frequently asked questions
How much does an AI consultant cost in Nashville?
Fixed-price assessments typically start around $3,500, pilots around $8,000, and ongoing advisory around $3,000 a month. Hourly rates among Tennessee-listed AI firms commonly run $50 to $300 or more. Prices vary by scope and data sensitivity.
What is the cheapest way to get started with AI consulting?
A free 30-minute conversation to define one problem, plus a free AI use policy template. After that, a team workshop (from $1,500) or a fixed-price assessment (from $3,500) are the lowest-risk paid first steps.
Should a small business pay hourly or fixed price?
Fixed price for a defined first project, because you know the total and the deliverables up front. Hourly works for small, open-ended questions if you agree on a cap.
Do AI consultants charge for the software too?
Usually not. Software subscriptions and usage fees are separate and paid to the vendor. Ask any consultant for an estimate of monthly running costs and whether they earn commissions from the tools they recommend.
How long does an AI assessment take?
My AI Opportunity Audit takes two weeks: interviews in week one, a written report and readout in week two.
Want this done for your firm? The AI Opportunity Audit is a fixed-price, two-week look at where AI helps and what to put in writing, from $3,500. Or start with the free policy template, or book a free 30-minute call.
